Procurement & supply chain

An exhibition is built once — a late supplier cannot be undone

In the events sector there is no "tomorrow". That is why we build a pre-qualified supplier base: we know their capability, their workshops and their stock before we need them. If your company works to that standard, register with us.

How qualification works

Four steps, no shortcuts

A clear process. Capability and reliability are the only criteria.

01

Registration

Complete the form, choose your supply category, and upload your profile and legal documents.

02

Legal review

Verification of the commercial registration and VAT number, and that the activity matches the chosen category.

03

Capability assessment

Review of past work, operational capacity, coverage area and payment terms.

04

Listing & invitation

Qualified vendors join our approved base and are invited to RFQs in their category.

Registration form

Register your company in AWJ's supplier base

Choose your main supply category first, and only the form for your field appears — no fields that do not concern you.

FAQ

Vendor questions

Your company must be a legally established entity in Saudi Arabia, with a valid 10-digit commercial registration and a 15-digit VAT number, and a company profile showing past work and execution capability. Prior experience supplying or delivering work for exhibitions, conferences and corporate events is preferred, along with the ability to hold the compressed timelines the events sector imposes.
Six main categories: booth construction, carpentry and custom fabrication; AV production, lighting, LED screens and event technology; corporate hospitality, VIP catering and supplies supporting AWJ Hospitality; luxury corporate gifting and custom packaging supporting Stories Gifting; printing, branding, event furniture and marquees; and safety systems, security, logistics and venue support.
The procurement and supply chain department reviews every application manually, and the initial review of legal documents and the company profile takes five to ten working days. Every application receives a reference number on submission, and qualified vendors are added to the approved supplier base so they can be invited to relevant requests for quotation in their category and coverage area as these arise.
Payment terms are set in the purchase order or contract for each project. Common options in the sector include net 30, net 60, milestone payments tied to completion percentages, and flexible arrangements depending on project size. Vendors are asked to state the payment terms they accept in the registration form so matching can happen upfront.
