We translate the vision of the elite into exceptional reality

Four projects across government, financial services and gaming — set out as operations rather than photographs: what the challenge was, how we solved it on the floor, and exactly what we carried.

Case studies

Four projects, told as operations

Portfolio pages usually show photographs. Photographs show what a room looked like, not whether it worked. Each project below is set out the way we plan it internally: the challenge, the operational solution, and the scope we actually carried.

An exhibition organized by AWJ for the Ministry of Education

Government — education sector

Ministry of Education

Over 3,000 m²  ·  500+ VIP visitors

The challenge

A government presence of more than 3,000 square metres, with over 500 senior and VIP visitors moving through it, and a ministerial programme that could not be allowed to queue. The floor had to work as an exhibition for the public and as a controlled protocol route at the same time, without either one disrupting the other.

The operational solution

We zoned the floor into a public exhibition route and a separate VIP circulation that never crossed it, with hospitality stations placed to break queues before they formed. Arrival sequencing, escort assignments and seating order were set in advance and drilled with the floor team, so the protocol ran on a plan rather than on the day.

Scope of work

  • ▪Floor planning and zoning across 3,000+ m²
  • ▪Stand and display design, production and installation
  • ▪Technical production: sound, lighting and LED screens
  • ▪VIP protocol, arrival sequencing and escorts
  • ▪Hospitality and bilingual floor hosts
  • ▪Crowd flow management and queue design
A joint initiative delivered by AWJ with Savvy Games Group

Esports & gaming

Savvy Games Group

The challenge

A gaming and esports audience judges production quality instinctively, because it spends its life watching broadcast-grade content. A corporate standard of staging would have read as dated to the people in the room.

The operational solution

We treated the build as a broadcast set rather than a corporate stage: sightlines and lighting specified for camera as well as for the audience, screen content and switching planned alongside the programme, and a floor layout that let the crowd gather and disperse without the usual conference bottlenecks.

Scope of work

  • ▪Stage and set design and build
  • ▪LED screens, switching and content playback
  • ▪Lighting design for camera and audience
  • ▪Floor layout and crowd flow
  • ▪On-site technical supervision through show days

Government — development fund

Agricultural Development Fund

The challenge

An institutional conference with an official audience, a fixed programme and no tolerance for a session running late. Content had to stay legible from the back of the room, and the sequence of speakers and officials had to move without visible stage management.

The operational solution

We built the room around the programme: screen sizing and lighting set against the furthest seat, a run-of-show shared by every supplier rather than five separate schedules, and a protocol plan that moved speakers and officials to and from the stage without a pause the audience could see.

Scope of work

  • ▪Conference staging and set build
  • ▪Audio, lighting and LED screen production
  • ▪Run-of-show and session management
  • ▪Protocol, seating order and speaker movement
  • ▪Hospitality and delegate services

Corporate — financial services

Al Rajhi Takaful

The challenge

A corporate brand with strict visual guidelines, delivered in an event environment where most suppliers improvise colour and finish. The build had to hold the brand exactly, and still read as an event rather than a boardroom.

The operational solution

We colour-matched every printed and painted surface to the brand standard and proved it on a physical sample before production, then used lighting and scale rather than extra graphics to give the space energy. The result holds the identity precisely without covering every surface in logo.

Scope of work

  • ▪Set and stand design and build
  • ▪Brand-exact colour matching and finishing
  • ▪Technical production: sound, lighting and screens
  • ▪Hospitality and guest services
  • ▪Installation, show-day supervision and dismantling

Questions

Frequently asked

Where a client permits it, yes. Government and corporate events often carry access restrictions, so we arrange visits case by case. Otherwise we walk you through the technical file and photography from comparable builds.
Yes. The portfolio shown is a selection across government, financial services and gaming. The method is the same regardless of sector; what changes is the regulatory file and the audience the room is designed around.
Our delivered work includes exhibition floors beyond 3,000 square metres and audiences beyond 3,000 visitors, including events with 500+ VIP guests requiring separate protocol circulation.
We provide references on request, with the client’s permission, at the stage where it matters — usually once a scope and budget range are agreed.
Yes. Riyadh is our base and most of this work was delivered there, but we operate across the Kingdom, with crew travel, logistics and regional approvals inside the same scope.
