AWJ Hospitality

Hospitality, crowds and VIP protocol — planned, not improvised

AWJ Hospitality blends authentic Saudi hosting with hotel-grade operational precision, and carries the crowd and protocol plan for conferences and events beyond 3,000 guests — in Riyadh and across the Kingdom.

The arm

AWJ Hospitality

Hospitality is where an event is either remembered or quietly forgiven. We treat it as an operational discipline rather than a catering line item — authentic Saudi hosting delivered with the precision of a hotel operation, and planned with the same rigour as the technical build.

Scope

Four capabilities, one floor team

Hospitality & catering

Saudi coffee service, full catering management, dietary handling, and the service rhythm that matches the programme rather than interrupting it.

Ushers & floor hosts

Bilingual hosts briefed on the programme, the venue and the guest list, positioned where guests actually hesitate.

VIP protocol

Arrival sequencing, seating order, escorts, forms of address, and the discreet choreography senior visits require.

Crowd management

Entry flow, queue design, capacity control, and the movement paths that stop a hall of thousands becoming a bottleneck.

At scale

What changes beyond 3,000 guests

At small scale, hospitality is hospitality. At three thousand people and above, every decision becomes a throughput calculation.

  • ▪Entry throughput sized to the accreditation method, not to the door width
  • ▪Coffee and refreshment stations positioned to break queues before they form, not where the power happens to be
  • ▪Seating and standing zones planned against the programme, so the room empties and refills between sessions without a crush
  • ▪Separate VIP circulation that never crosses the main flow
  • ▪Staff ratios set per zone, with a named owner for each zone rather than a floating team

The standard

Saudi authenticity, hotel precision

Authentic hosting

Saudi coffee, dates and the forms of welcome guests recognise, done properly rather than as decoration.

Hotel-grade operation

Briefings, checklists, timings, station assignments and a service rhythm drilled before the doors open.

One team with production

Hospitality shares the run-of-show with the technical and build teams, so service never collides with a session change.

Questions

Frequently asked

Saudi coffee and full catering management, ushers and bilingual floor hosts, VIP protocol and seating, arrival and departure sequencing for officials, crowd flow design, and the queue and capacity planning that keeps a hall of 3,000 people moving.
Yes. We have managed events beyond 3,000 visitors. At that scale hospitality stops being catering and becomes flow engineering: how people enter, where they wait, how long a coffee queue is allowed to get, and where the bottleneck forms before anyone notices it.
Yes. Arrival sequencing, seating order, escort assignments, briefing of floor staff on titles and forms of address, and the quiet choreography that keeps a senior visit from stalling in a corridor.
Yes. Floor teams are briefed in Arabic and English, and matched to the audience. For delegations with other languages we arrange specific interpreters as part of the scope.
Yes. AWJ Hospitality works as a standalone scope alongside another producer, with a defined interface so responsibilities do not overlap on the day.
Four weeks is comfortable for a standard corporate event. Large conferences with VIP protocol and multiple delegations should start six to eight weeks out, because the protocol plan depends on confirmations that take time.
